Compliance Module - Introduction

This article provides a introduction of the core functions of the Compliance Module and links to helpful articles guiding you in your work with certificates and quality topics.

Introduction & Best Practice

At Delogue, we recognise the increasing need for fashion and lifestyle brands to comply with strict and evolving regulations. To support this, we have launched the Compliance Module – a centralised, cloud-based tool for managing certifications, test results, and related data.

Under the Compliance tab, you can add all relevant certificates your brand is working with, as well as document any quality topics or claims you want to report on. Once you have added the necessary certificates and quality topics, you can link them to the relevant styles and items they affect or relate to.

After this, you will be able to monitor everything under the Styles tab. Within each individual style, the Style Compliance subtab shows which certificates or quality topics are associated with that style or with items listed on the style item list.

NOTE: To use the Compliance Module, your company must have the Professional license subscription.

Before You Start

1) Make sure the 'Compliance Admin' and 'Compliance User' role is assigned to you as a user. To learn more about assigning different roles to a user, click here.

 

Admin Setup

Before you can begin working with Certificates and Quality Topics under the Compliance tab, you need to complete the prerequisites listed below. A detailed step-by-step guide for the Compliance Admin Setup can be found here.

Navigate to: Admin > Compliance

  • Enable/disable certificate types based on your process
  • Add relevant quality topic types
  • Add institutes, categories, groups, and custom fields for better classification and filtering
  • Define the standards your company uses
  • Set up DOC Templates under Admin > Compliance > DOC Templates

 

Adding Certificates

Under the Compliance > Certificates tab, you can create and manage certificates and test reports linked to standards, styles, and items. To add a new certificate, click 'Add Certificate' and complete the required header details, including the institute and contact information. You can define validity periods, track status, and filter or save certificate views. You can link standards and lab tests to a certificate using the Standards subtab. This lets you log and track test results for each standard on specific styles. However, linking standards is optional. For example, certificate types like transaction certificates typically don’t require associated standards.

Adding Quality Topics

Under the Compliance > Quality topics tab, you can create and manage quality workflows linked to styles, items, and production processes. To add a new quality workflow, click 'Add Quality Topic' and complete the required header details, including relevant supplier information. You can define individual quality topic types, assign creation dates, track topic status, and communicate about claims directly with the supplier contact. After creating a quality topic, you can link related styles and items under the 'Affected' subtab. This enables you to document quality checks, log results, and monitor issues across the supply chain.

Using Compliance on Specific Styles

Under the Styles > Compliance tab, you can monitor linked certificates, tests and their results and quality topics related to the style. The subtab provides an overview of validity and expiration dates, along with insights into certificates and test results for items associated with the style item list.
