File Sync - Admin Setup

This article provides step-by-step guidance to install, configure, and use the File Sync service in Delogue

Introduction & best practice

The Delogue File Sync service ensures your team always has access to the latest files by synchronising them with the Azure sync client. For smooth operation, always close files after editing, avoid special characters in file names, and allow up to two hours for the first synchronisation of large folders. Monitor the service to confirm it runs correctly and follows scheduled syncs for continuous updates.

Manual download on how to install

Make sure your company has access to the File Sync feature. In case you cannot access the described areas in the platform, contact the customer support. After having access, you will need to install the feature. Click on the button below for the complete technical guide regarding the installation.



 

System configuration

  • The Delogue Synchronisation service operates on Windows operating systems with .NET Framework 4.5 or higher installed. It is compatible with any Windows OS running .NET Framework 4.5 or above
  • The application requires a connection to the internet in order to update files to Azure cloud storage. Updated files can be seen using the pop-up displayed on the click of the 'Link Files' button in the Style Files subtab or style header.
  • After installation, the Delogue File Sync service can be used immediately without any further configuration if there are not more than 50 files in the synchronised folder. Otherwise, the user needs to wait for 2 hours for the first-time synchronisation. 
  • It is always recommended to wait 2 hours after the installation to get the synchronisation folder synchronised with Azure for the first time. Later, the user doesn't need to wait for synchronisation.

NOTE: If any file is not uploaded due to any exception, try to upload that file again after 10-15 minutes.

 

Hardware configuration

The following are the points for hardware configuration which can be considered for better performance:

  • C drive must have more than 5 GB of free space
  • RAM should be at least 4 GB
  • Windows 7 and above are recommended with a 64-bit operating system

 

Installation steps

The following will guide you through the steps of installing the File Sync service. It is important that you follow the steps in the order they are listed. Feel free to contact the customer support at support@delogue.com for any questions or help.

Navigate to: Admin > General Settings  > Files

  • Find the headline 'Sile Sync'
  • Click the button 'Download New Synchronization Setup'
  • On the File server: Open the downloaded folder, which will be a zip file
  • Extract Zip - once extracted, there will be two files at the extracted location (DelogueFileSyncServiceSetup.exe and FileSyncServiceData.txt)
  • Click on the setup file (DelogueFileSyncServiceSetup.exe)
  • Provide administrator credentials if the user doesn't have these admin rights
  • While installing, please provide the configuration file (FileSyncServiceData.txt from the extracted folder)
  • Select the folder name which needs to be synchronised with Azure
  • Finish the installation

 

  • Check, if the service is installed and started automatically (Type Services.msc in the search window, and it will display installed services. Check for “Deloguesyncservice” if it is installed or not)
  • If the service is not started and there is an option to start the service, then start the service manually
  • In case the service is still not started, please go to the installation path (C:\Program Files\Delogue\FileSynchronizationService)
  • Open “ErrorLog.Txt” and check for an error, if this file is created. Download the installation manual from above and follow it closely.

NOTE:

  • The service must be installed on the file server that hosts the folder you wish to synchronise.
  • Always remember to run the installation as Administrator.

 

Using the file sync service

Scheduled synchronisation

The service will run scheduled synchronisation every 5 minutes to synchronise all the content. Any changes made when scheduled synchronisation is running will be synchronised on the next scheduled synchronisation. The 5-minute timer for scheduled synchronisation will start after the service completes syncing all current changes made.

 

Close files when done editing

Always close the file after editing; otherwise, it might not be updated by the Azure sync client.

 

Special characters in the file name

Files that should be synchronised should not contain special characters in the file name. The following characters will be changed to '_' in Delogue:

  • &
  • %
  • #
  • <
  • >
  • \
  • ?
  • /
  •  (space)

For example, the file names 'Example 1.png'  and 'Example_1.png' will in Delogue be treated as the same file, because the space in the first file name will be replaced by an underscore instead.

 

Adjusting a file that has been uploaded

It’s not possible to download a file from the sync folder, adjust it, and save it right away in the sync folder. The file must be saved somewhere else and then re-uploaded to the sync folder. If not, special characters might be added to the file name, and the synchronisation will not work.
