Working With Items

Learn how to create items and where to add the relevant data

Introduction & Best practice

Items are the components of your styles. In the fashion industry we have many different words for this, e.g. Trim, Trimmings, Materials etc. All of these are referred to as 'Items' in Delogue.

Items are born as an independent element, allowing you to start sourcing of items before you know the design of your styles.

Before you start

1) Make sure that at least one Brand is created in 'Admin'.

NOTE: If you want to highlight that the Item can be used among all your brands, we recommend creating a brand called 'All brands' and selecting this when creating items. 

2) Consider the naming structure of your items. 

3) Add the category structure of your items in Admin e.g. Fabric, Zipper, Button, Label, Packaging etc. 

4) Add Units in Admin e.g. pcs, cm, mm, inches, g/m² etc.


Create Items

There are different ways of creating new items. You can add completely new items or you can copy from existing items. 

Both options are explained in the following paragraph. 

Step-by-step of adding items

  • Click on the 'Add Item' button in the upper right-hand corner of the page.

  • In the item header, start by choosing the brand - if only one brand is added in Admin, it will be pre-selected.
  • By default the User creating the Item will be set as Contact person - simply change this by choosing someone else in the drop-down.
  • Add an item name (this is mandatory
  • Add an item number (optional
  • Write a short description of your item if needed (optional
  • Select a supplier for your item including a supplier contact 

NOTE: Please read the paragraph about Item supplier, before you start adding the suppliers to your items, as it is not possible to change the supplier of the item after saving your choices. 

  • Select the suitable category of the item
  • Select the unit used for consumption measure.
    This will be relevant at a later point, when working in the style item list. 
  • Add the default quantity if any (optional
  • Upload a image to your item header - it can be a .jpg, .png, .gif, .bmp.

  • Finally, click on the green save icon to create the item. 
    Now, you are ready to refine the item specifications.

Make a copy of an item

If you want to reuse information from an existing item to create a new item, you use the copy functionality create a new Item that way.
  • Click on the 'Copy' icon and a pop-up will show

  • By default the brand and supplier is pre-selected with the information from the copied item. 
    Simply change the information directly in the pop-up if needed. 
  • Add the item name and item number - or click on the 'Keep name' or 'Keep number' if it should be the same. 

  • Select what data points you want to include in the copy. 
    The system will remember your choice for next time you use the copy. 
  • Once satisfied - click on 'OK' and your new Item will be created.
    Now, you are ready to refine the item specifications.

Item supplier


At Delogue, transparency is key. Therefore it is important to create items with nominated supplier information.

Due to the upcoming EU regulations, we highly encourage you to avoid using generic supplier information such as 'locally sourced' or 'supplied by supplier' on your item. 

Our supplier recommendation

We recommend to leave the supplier field empty until you know which supplier to add.

If you have the communication with the nominated trimming supplier, then we recommend to add this supplier information to the item, to be able to keep the communication within Delogue. 

If it is your assembly supplier who will be communicating with the nominated trimming supplier, when we recommend to add the assembly supplier as the item supplier as well - to handle all needed communication within Delogue.

Item specifications

Once your item is created, you need to add the specifications of your item under each of the item sub-tabs. 

Sizes

In the size sub-tab, you will be able to create different sizes of the same item. 

This is also where you will be able to approve and comment on the specific sizes of the item. 

Adding sizes
  • Click on the sub-tab called 'Sizes'.
  • Click on 'New item size line' to add a size. 

  • Write the size information in the text field and save
  • You can add as many sizes as needed. 
  • You can rearrange the order of the sizes by dragging the size to the correct place.

Inactive or Delete item sizes
  • Inactive item sizes that is no longer needed, by removing the check in the 'active' column.

NOTE: The inactivation of any size will not affect the style item lists, where the item size is in use. 

  • You can also delete item sizes that has not been used on any style

Details

The item details is used to describe the item qualities including information such as composition and weight. 

It is also were the color combinations are created. 

Quality Card

The quality card/box of your item, allow you to specify information about the quality of the item.

NOTE: there can be added multiple details per item. This is can be useful for items that consist of multiple components such as zippers, fabrics with coatings, striped fabrics etc. 

  • Add a 'description' to the quality. The description can also be used as a headline for the specific quality. It is especially useful in the cases where multiple qualities are added to the same item. 
  • Add the composition

    Add the percentage of each material fiber in the composition. 
    In case the sum of the percentages does not equal 100 the numbers will be in red.
    The compositions will be ordered by the highest percentage at the top. 

NOTE: Make sure that you have created the materials in Admin, to be able to add the composition to the quality card. Learn how to add materials here

  • Add the weight and weight unit
  • Add additional information (optional)
  • To save - click on the green 'save' icon. 
  • To add more details to the quality card, simply click on the 'add detail' and continue the steps above.

Color Card

Now you are ready to start adding the relevant item colors for each of your details/qualities. 

  • Click on 'Add color' to add a new color. 
  • A color card/box will be displayed next to the quality card/box.

NOTE: If you have added multiple details/qualities to the quality card, then you will see the same amount of boxes for the color card, as each detail needs to be specified by color. 

Also note that the color card field information can look different, depending on the setting in your Admin > Colors. Read more here

  • Start by giving your color a headline, also called a combo name
  • Fill out the color name and color reference by using one of the two option: 
    • Free text Color name and Color reference:
      If a drop down display when you start typing in the 'color name' field, it is showing values previously entered manually to help save time. But you can always overwrite any information shown here.

    • Library Color name and Color reference: 
      When using the color library name field, you will automatically receive the color reference from your color library in Admin.

NOTE: Did you know that by adding a pantone reference in the 'color reference' field, the system will create a small colored box to show the color? 

  • Once you have added all the needed information click on the green 'save' icon to save the color. 
  • Continue the above steps as many times as needed, to create all the relevant item colors.
