Seasons - Admin Setup

Seasons are mandatory when creating a style in Delogue. The seasons are the overall parameter to structure your styles and thereby your data. You can have as many seasons as you like.

Based on your collection structure, you can create seasons in Delogue to organise styles and establish a clear overview aligned with your seasonal timelines.

If you are going to make integration with an ERP provider, make sure that the seasons have the same structure as in the ERP system.

1) Make sure the 'Company Admin' role is assigned to you as a user. To learn more about assigning different roles to a user, click here.

Step-by-step guide

Create a season

Navigate to: Admin > Seasons

  • Click the 'Add season' button - a new row will be added to the table

  • Type in a season ID - used as a unique identifier, especially useful during data imports and exports, ensuring that information aligns correctly across systems
  • Season name - *mandatory
  • Type a project name - this is useful for organising seasonal drops, collaboration collections, or any other subcategories within a season's timeframe
  • Define milestone dates for sample types - read more about it here
  • Click the green 'save' icon to finish

Milestone dates for sample types

When setting up a season, you can define milestone dates to help manage deadlines for sample requests. Each sample type within a season can be assigned its milestone date.

When you create a sample request for that specific sample type and season, the milestone date will automatically appear as the suggested deadline. If needed, you can always adjust the deadline for an individual sample request, for example, to allow some extra buffer time.

Navigate to: Admin > Seasons

  • Choose a season from the list
  • Click on 'Show more'
  • Choose a sample type from the list
  • Double-click the date field in column 'Milestones for sample types'
  • Choose a date
  • Click the green 'save' icon to finish

When creating a new sample request for a style from the selected season and sample type, a suggested milestone date will appear next to the calendar icon as a clickable link. Click the link to confirm the date and proceed with your sample request.

 



Deactivate a season

You can deactivate seasons if they should no longer be selectable for new styles. Likewise, you can deactivate sample types for specific seasons.

Navigate to: Admin > Seasons

  • Click on the 'pen' icon to set the season to edit mode
  • Use the toggle in column 'active' to deactivate the season or sample type
  • Click the green 'save' icon to finish

Lock Seasons

Your company might want to be able to have all styles in a specific season locked, so the designer does not create new sample requests by mistake on new styles. To this end, it is a good idea to acquire the Lock Season feature.

This feature allows you to set how exactly you want to lock a season.

NOTE: To use the Lock Seasons feature, your company must have the Professional license subscription.

 

Locking a season

Navigate to: Admin > Seasons

Here you will see your season's overview. In the example below, all the seasons are active because they have a green lock on it.



  • Click on the green 'lock' icon
  • In the pop-window, check the option 'Lock Season' - the system will automatically check all options. Feel free to uncheck the locks you don't need.
  • Click 'OK' to confirm

 

  • The red 'lock' icon shows which seasons have been locked

 

Unlocking a season

It is always possible to unlock a season after it has been locked before. 

Navigate to: Admin > Seasons

  • Click on the red 'lock' icon
  • In the pop-window, uncheck the option 'Lock Season' 
  • Click 'OK' to confirm

NOTE: If any sample type appears with a strikethrough, it simply indicates that it is an inactive sample type.

 

What actions can I perform on a locked style?

What you can do in a locked season depends on the type of lock your Company Admin has set. Make sure you know what actions are allowed.


Actions you can always take:

  • Comment on sample Requests
  • Change the status of Sample Requests you have already started

If the season is completely locked, you cannot:

Styles & Sample Requests

  • Create new styles for this season
  • Create new sample requests
Item List
  • Add a colour 
  • Edit a colour
  •  Deactivate a colour
  •  Delete a colour
  •  Import an item list
Size Chart
  • Change the size range
  • Import a size chart
