Suppliers converted multiple times

This article explains why a Supplier Portal Account should only be created once, what happens if a supplier converts multiple times, and how to handle duplicate conversions.

Introduction & best practice

In the Supplier Module, the way suppliers work has changed. Suppliers now operate through a single log-in, allowing them to collaborate with multiple brands at the same time in one view. This setup benefits the supplier by enabling them to enter their information only once, instead of maintaining the same data across multiple brand-specific log-ins.

To enable this new way of working, the existing (legacy) supplier profile must be converted to a Supplier Portal Account. This conversion only needs to be completed once and will then apply across all brands connected to that supplier.

Before you start

If you are responsible for the merger process, meaning you are either the one requesting the supplier to create the Supplier Portal Account, or you are the supplier creating it, please note that the conversion only needs to be completed once.

If a supplier works with multiple brands in Delogue, they should not complete the conversion multiple times. Instead, the supplier should complete the conversion once and then share the generated code with each brand they collaborate with.

This ensures that the same Supplier Portal Account is connected across all brands.

Disclaimer When a Supplier Attempts to Convert Multiple Times

If a supplier goes through the process of creating a Supplier Portal Account a second time using the same email address, the system will prompt them to either proceed with creating a new account or log in to the account that has already been created.

The correct action is to log in to the existing account.

This safeguard is designed to prevent duplicate Supplier Portal Accounts from being created.

If a Supplier Has Been Converted Multiple Times

If you, as a supplier, have accidentally created multiple Supplier Portal Accounts, you should only use one of the generated codes when connecting with the brands you work with. This ensures that all brands are connected to the same Supplier Portal Account, allowing you to manage collaboration with all of them through a single log-in.

When Would It Make Sense to Convert Multiple Times?

In very few cases, it may make sense for a supplier to have multiple Supplier Portal Accounts, which is why the system allows this possibility.

One example could be when a brand works with an agent who is registered as the direct supplier in Delogue. In such cases, the agent may collaborate with several different assembly suppliers. For the agent, it might not always make sense to manage all these relationships under a single Supplier Portal Account.

However, this setup should only be used in specific and well-considered scenarios. In most cases, a supplier should only have one Supplier Portal Account shared across all brands.
