The General Product Safety Regulation (GPSR) is a key piece of legislation that applies to all consumer products made available on the EU market after the 13th of December 2024. Its main goal is to ensure that products placed on the market are safe for consumers to use. Our recommendation for working with the General Product Safety Regulation (GPSR) is to take a seasonal approach. In the fashion industry, it is standard practice to review collections, and at this point, your team typically decides which products need testing, based on a range of factors.

This guide is meant to help you formalise and document that process. The product safety assessment should consider different elements such as order quantity, material composition, trims and embellishments, supplier country, and any treatments applied to the product. Based on these criteria, you can determine whether a product poses a potential risk and needs further documentation or action.

GPSR custom field setup

The following steps describe how to build and maintain your risk management system in Delogue, so you can easily track and document that your products are safe and compliant.

First, you create tThe following custom field setup will be described:

Navigate to: Admin > Custom Fields

  • Create 'GPSR - General Product Safety Regulation' divider
    • Click 'Add Custom Field'
    • Select 'Divider' as custom field type
    • Insert name 'GPSR - General Product Safety Regulation'
    • Set checkmark next to 'Internal'
    • Click 'OK'
  • Create 'Order Quantity' as a numeric custom field
    • Click 'Add Custom Field'
    • Select 'Numeric' as custom field type
    • Insert name 'Order Quantity'
    • Set checkmark next to 'Internal'
    • Click 'OK'
  • Create 'Trimmings' as an allowed value custom field
    • Click 'Add Custom Field'
    • Select 'Allowed Values' as custom field type
    • Insert name 'Trimmings'
    • Set checkmark next to 'Internal'
    • Insert values:
      • 'Nominated supplier'
      • 'Supplier sourced'
    • Click 'OK'
  • Create 'Treatment' as an allowed value custom field
    • Click 'Add Custom Field'
    • Select 'Allowed Values' as custom field type
    • Insert name 'Treatment'
    • Set checkmark next to 'Internal'
    • Insert values:
      • 'Chemical washing'

    • Click 'OK'
  • Create 'Certification' as an allowed value custom field
    • Click 'Add Custom Field'
    • Select 'Allowed Values' as custom field type
    • Insert name 'Certification'
    • Set checkmark next to 'Internal'

  • Create 'Other Regulations and Standards' as an allowed value custom field
    • Click 'Add Custom Field'
    • Select 'Allowed Values' as custom field type
    • Insert name 'Other Regulations and Standards'
    • Set checkmark next to 'Internal'
    • Insert values:
      • 'Kidswear (EN 14682)'
      • 'Workwear (EN 388)'
    • Click 'OK'
  • Create '1. Risk Assessment' as an allowed value custom field
    • Click 'Add Custom Field'
    • Select 'Allowed Values' as custom field type
    • Insert name '1. Risk Assessment'
    • Set checkmark next to 'Internal'
    • Insert values:
      • 'High risk'
      • 'Low risk'
      • 'Medium risk'
      • 'Serious risk'
    • Click 'OK'
  • Create '2. Source of Risk' as an allowed value custom field
    • Click 'Add Custom Field'
    • Select 'Allowed Values' as custom field type
    • Insert name '2. Source of Risk'
    • Set checkmark next to 'Internal'
    • Insert values:
      • 'Chemicals'
      • 'High risk treatment'
      • 'Material composition'
      • 'New style'
      • 'New supplier'
      • 'Other requirements'
      • 'Previous supplier issues'

    • Click 'OK'
  • Create '3. Other Source of Risk' as a text custom field
    • Click 'Add Custom Field'
    • Select 'Text' as custom field type
    • Insert name '3. Other Source of Risk'
    • Set checkmark next to 'Internal'
    • Select text field option 'Text Box'
    • Click 'OK'
  • Create '4. Action to be taken' as an allowed value custom field
    • Click 'Add Custom Field'
    • Select 'Allowed Values' as custom field type
    • Insert name '4. Action to be taken'
    • Set checkmark next to 'Internal'
    • Insert values:
      • 'Chemical test'
      • 'Functional test'
      • 'No action'
      • 'Product test'
      • 'Request sample'

  • Create '5. Action Result' as a text custom field
    • Click 'Add Custom Field'
    • Select 'Text' as custom field type
    • Insert name '5. Action Result'
    • Set checkmark next to 'Internal'
    • Select text field option 'Text Box'
    • Click 'OK'
  • Create '6. Remediation when Appropriate' as an allowed value custom field
    • Click 'Add Custom Field'
    • Select 'Allowed Values' as custom field type
    • Insert name '6. Remediation when Appropriate'
    • Set checkmark next to 'Internal'
    • Insert values:
      • 'Change sub-supplier'
      • 'Change supplier'
      • 'Redesign'
      • 'Remove product'
    • Click 'OK'

Secondly, after setting up the required custom fields, you can view the risk assessment information on the style page.

Thirdly, you create a style custom report to filter on your collection and to fill in data from the overview of styles.

Navigate to: Report > Style Custom Report

  • Click the yellow 'star' icon to create a new report
  • Type a report name 'GPSR - Risk Assessment'
  • Select the brand and season you want to filter on
  • Click 'Save
  • Click on 'Columns' to add additional columns to the report
  • We suggest the following selection of columns: 
    • Season, Style Logo, Brand, Style Name, Style Number
    • Supplier Name, Supplier Country, Style Category
    • Main Item Name, Main Item Composition, Order Quantity
    • Trimmings, Treatment, Certification, Other Regulations
    • 1. Risk Assessment, 2. Source of Risk, 3. Other Source, 4. Action to be, 5. Action Result, 6. Redemiation

GPSR - report

Fourthly, you can fill in risk assessment information on your style overview. The data will be mirrored on the individual style under the Custom Field subtab. You can also export the style custom report as a source for proof of your risk assessment in Delogue.

 

Risk assessment procedure example download

As part of GPSR compliance, it is also important to have a clear procedure in place for what to do if a product is later identified as unsafe. This ensures you are prepared to take immediate and responsible action. You can download an example of such a procedure here.
