Batch Messaging

Efficiently handling messages across various styles is simplified through the function of Batch Messaging in Delogue.

    Introduction & Best Practice:

    Batch Messaging streamlines handling messages across various styles by allowing you to send identical messages, regarding multiple styles, to your supplier. We recommend you use this function mainly to request certain specific actions from the suppliers. Action messages such as: "Please add cost prices", "Please add care instructions", "Please check the updated item list" etc.

    This feature lets you:

    1. Select Desired Styles: Use your preferred filters to choose the styles you want to communicate about.
    2. Send One Notification: The supplier receives a single notification email, even if multiple styles are involved, ensuring all styles share the same information.
    3. Reduce Errors: Minimizes repetition and decreases the likelihood of miscommunication.
    4. Efficient Responses: Both you and the supplier can respond to messages collectively or individually, reducing the workload of sending the same message multiple times.

     NOTE: To use this feature, your company must have the PRO license subscription

    STEP-BY-STEP GUIDE:

    Step 1:
    Define the group of styles you want to send a message regarding.
    You have a few options:

    1. Use the filter to define the group of styles - Read here how to filter in Delogue
    2. Use one of your already-created favorite filters

    Step 2:
    Send a batch message

    • Navigate to: Batch actions:

    • Select: "Message"
    • Now select the styles you want to communicate about. Either all styles or a selection:

    • If you want the message to be internal, toggle to the left. See above Screenshot
    • Choose who to notify.
      You can choose both company contacts and supplier contacts

    NOTE: If the styles are assigned to multiple suppliers you/the brand can see all the supplier contacts, but the supplier will only see the styles they are in charge of.

    • Add a subject
    • Write your message - use the usual text editing tools
    • Upload/drag and drop a file, if needed
    • Click "send"

    Step 3:
    Reply to a batch message

    • Navigate to: a style that was included in your batch message > Communication
    • You will see the list of styles that were a part of the batch message + the icon indicating that it is a Batch Message.

    • Click "reply"
    • Now you can choose if you want to send a reply to all of the styles or only to the one style you are on. By default, the setting is "Reply to all styles", if you only want to reply to the style you are on, toggle to the left.

    • Choose which supplier and company contacts to notify
    • Write your message and click "send"

    NOTE: You can send Batch Messages to styles published to different suppliers. But you can only batch reply to styles that belong to the same supplier.

    If you're Supplier user you can also use this feature - but you can only write to your own colleagues and to the Designer users you are working for.



    Notifications

    1. When you send a Batch Message the supplier receives one email with links to the affected styles. The actual message is not visible in the email.

    2. When the supplier replies (or you reply) to all the styles, from a Batch Message, you get one email notification with links to the styles. The actual message is not visible in the email.

    3. If you or the supplier choose to only reply to one of the styles (by toggling to the left) you/or the supplier will get an email notification with both a link and the actual message:
